Who is responsible for the information
Changeover Master is a trading name of Mark Hutchinson, a sole trader. For account, enquiry, support, security and website information, Mark Hutchinson trading as Changeover Master is the data controller.
For owner booking information, the cleaning company normally decides why the information is collected and how it is used. That cleaning company is normally the controller and Changeover Master handles the information as its service provider and processor. Founder clients can review those responsibilities in the Founder Pilot Agreement and Data Processing Schedule.
Information we collect
Account and enquiry information may include an email address, password handled by our authentication provider, name, company, telephone number, property count and messages sent to us. We also record trial start and end times, optional trial-email consent and delivery status. Booking submissions may include an owner or manager name and email, property, stay dates, guest count, operational notes, email content and optional schedule files or screenshots. When an owner chooses iCal syncing, we also store the encrypted private feed address, its provider hostname, event identifiers, dates and sync status. We do not need event descriptions or guest names from the feed.
If optional analytics are accepted, we may record public page paths, product-event names, campaign labels supplied in a link and the hostname of an external referring site. Owners should not include payment card details, identity documents or unnecessary information about guests.
How and why the information is used
- To receive, organise and review property booking information.
- To add clear new bookings automatically and hold uncertain details, changes and cancellations for human review.
- To provide account access, support and trial onboarding.
- To send optional trial tips and reminders when you choose to receive them, with an unsubscribe link in each message.
- To protect the service, prevent misuse and diagnose errors.
- To understand product usage where optional analytics have been accepted.
Depending on the activity, the lawful basis is performance of a contract or steps requested before entering one, legitimate interests in operating and securing the service, compliance with a legal obligation, or consent for optional trial emails and analytics. Changeover Master processes owner booking information on the cleaning company’s documented instructions.
Suppliers and storage
The founder service uses Railway for application hosting, Supabase for authentication, database and private file storage, Mailgun’s EU service for inbound booking email and service messages, and Resend for account emails and optional trial emails when enabled. Where automatic document reading is enabled, OpenAI may process uploaded images and PDFs only to identify booking dates and operational details. GitHub runs restricted release, monitoring and encrypted-backup automation; encrypted recovery archives are stored privately in Google Drive without the separate encryption key. The current list and purposes are set out in the data-processing schedule. We do not sell personal information or use booking content for advertising.
Retention and deletion
Clients can request an export or deletion of trial information at any time. Operational records are kept only while needed to provide and verify the trial, resolve support issues and meet legal obligations. Until automated retention controls are introduced, verified deletion requests are handled by the Changeover Master team.
Your rights
Depending on the circumstances, UK data protection law may provide rights of access, correction, deletion, restriction, objection and portability. We may need to verify a request before acting on it. If the information was supplied to a cleaning company, contacting that company first may be the fastest route.
You may also complain to the Information Commissioner’s Office. Details are available at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address the concern first.
Automated decisions
Changeover Master does not use booking information to make solely automated decisions with legal or similarly significant effects. Unclear booking information is held for human review before it changes the working calendar.
Security
Controls include private property links, encrypted iCal addresses, restricted server-side calendar retrieval, signed inbound-email verification, duplicate-message protection, restricted file handling, abuse controls, secure response headers and human review of uncertain details, changes and cancellations.
